Part 1: 📋 Steps for Creating and Uploading Directory Images

  • Open Canva
    • Log into Canva and search for the Directory Square template for the client you're working on.
  • Duplicate and Rename
    • Make a copy of the file.
    • Rename the copied file using the client’s name for easy identification.
  • Add Slides
    • Add additional slides to the file — aim for at least 50 slides total.
  • Update Images
    • Replace the existing images on the slides:
    • Prioritize using client-provided images.
    • If there aren’t enough, supplement with stock images as needed.
  • Download and Unzip
    • Once all slides are updated:
    • Download the file.
    • Unzip the folder to access the individual image files.
  • Access the Directory Images Folder
  • Set Up the Client Folder
    • Locate the folder with the client’s name.
    • If it doesn’t exist, create a new folder and name it after the client.
  • Create Template Image Folders
    • Inside the client’s folder:
    • Create a folder named Template Images 1.
    • Add the brand image and 29 other images (total: 30).
    • Create another folder named Template Images 2.
    • Add the brand image and 29 different images not used in the first folder.
    • Repeat these steps, creating new folders (e.g., Template Images 3, etc.) until all images are uploaded.

Part 2: 📋 Steps for Renaming Directory Images

🟢 Step 1: Add a New Row in NewImages Tab

  • Folder ID → Go to Client Folder ID tab, find the client, and copy one of the folder IDs
  • Location → e.g., Santa Clarita
  • Primary Keyword → e.g., Roof Repair
  • Secondary Keyword → e.g., Roofer, HVAC
  • Client Name → Must match exactly as listed in the Client Folder ID tab
  • Client Location → Repeat city or broader area
  • Number → Always enter 1
  • Status → Enter New
  • ReviewedLeave blank

🟡 Step 2: Run the Script

  • Click: Automation > Process NEW Folder (top menu)
  • If nothing happens, see "If the Script Doesn’t Run" section below

🔁 Step 3: What the Script Does

  • Copies the folder from the Folder ID
  • Renames the folder using: [Primary Keyword] – [Location]
  • Renames each image using this format:
[Primary Keyword] near [Location] – [Secondary Keyword] – [Client Name] – [Client Location] – [Number].jpg

🔍 Step 4: Verify the Output

  • Go to the main folder location in Google Drive: 📁 Open Destination Folder
  • Look for the new folder: [Primary Keyword] – [Location]
  • Check that:
    • ✔️ Folder name is correct
    • ✔️ Images are renamed properly
    • ✔️ Numbering starts at 1 and increments correctly

✅ Step 5: Final Check

  • The script will update Status to Done
  • Reviewed must remain blank

❗ What to Do If the Script Does Not Run

  1. Try clicking Automation > Process NEW Folder again
  2. If nothing happens, you need to authorize the script:
    1. Click Extensions > Apps Script
    2. In the Apps Script window, choose the function: ProcessNEWFolder (or similar)
    3. Click the ▶ Run button (triangle icon)
    4. A popup will appear: "Authorization Required" → click Review Permissions
    5. Select your Google account
    6. You may see a warning that says "This app isn’t verified":
      • Click Advanced
      • Click Go to script (unsafe)
    7. Click Allow to authorize access
    8. Return to the spreadsheet and re-run: Automation > Process NEW Folder
  3. If it still doesn’t run, contact your manager or admin for help

Note: The script only accesses folders and files you already have permission for. It does not collect or send any personal information.
